The Problem
The organization faced significant challenges in aligning on how to communicate about, evaluate, and responsibly adopt AI across teams. Employees had highly diverse and inconsistent levels of experience—ranging from curiosity to resistance—while managers across departments held differing, and at times conflicting, views on AI use and risk. Leadership lacked clarity on which tools to adopt, how to integrate AI safely and effectively into daily work, and how to ensure a shared baseline of AI literacy across the organization.
I gathered qualitative and quantitative data across organizational levels to understand existing AI usage, experiences, and perceptions. This included a needs assessment survey to evaluate knowledge levels, documentation of perceived departmental risks, and clarification of leadership goals and objectives. Based on this analysis, I designed a structured learning trajectory with clear learning objectives and a scalable methodology leveraging rotating, selectively chosen participant groups to maximize impact while minimizing resource use. Following approval from leadership and HR, the program was implemented with strong results.
A structured 9-week learning trajectory that combined:
Learning circles (10 participants per session) with rotating facilitators from different teams to foster shared ownership, supported by the NYU We Are All AI course
Reflective activities connecting course content to specific roles and work contexts
Weekly assignments applying learning at three levels: individual projects, team ways of working, and organizational values and processes
A dedicated online community to support peer learning and knowledge sharing

Development of Company AI Ethical Guideline “The Harlem Declaration” was signed by 300+ members of the Vine community
Professional AI training: Three internal training programs (co-developed with external subject-matter experts) on Generative AI for NGO professionals and journalists
Sustained learning community: An active online community that continues to share case studies, tools, news, and resources
Ways of working and AI adoption: Leadership used collected data to select safe and effective AI tools; managers defined appropriate safety measures; employees identified best practices for integrating AI into individual and team workflows.
